A job tracking status pipeline is a set of consistent “stages” you move every application through—so you always know what’s active, what needs follow-up, and what’s closed.

What is a Job Tracking Status Pipeline?
A job tracking status pipeline is a simple workflow that turns a messy job search (tabs, emails, spreadsheets, and sticky notes) into a structured system. Instead of asking “Where did I apply?” or “Did I hear back?”, you assign each job to a stage and let the pipeline show your progress at a glance.
In JobShinobi, the pipeline is built directly into the Job Application Tracker and supports these statuses:
- Applied
- Interview
- Offer
- Accepted
- Rejected
This keeps your tracking consistent—and makes analytics like response rate and offer rate meaningful (because your statuses are standardized).
Who this is for:
- Job seekers applying to multiple roles per week (or per day)
- Career switchers who need a repeatable process
- Anyone who wants a clean pipeline without maintaining a complex spreadsheet
How to Use JobShinobi’s Job Tracking Status Pipeline
Step 1: Sign in and open the Job Application Tracker
- Go to JobShinobi and sign in with Google.
- Navigate to Dashboard → Job Application Tracker.
This is where you’ll manage your pipeline stages, update statuses, and export your data.
Tip: Even if you plan to automate tracking later, start by adding a few key applications so your pipeline has momentum.
Step 2: Add an application (manual entry)
Click Add Application and fill in:
- Job Title
- Company
- Status (defaults to Applied)
Save it, and the application will appear in your table (newest first).
Tip: Keep job titles consistent (e.g., “Software Engineer” vs “SWE”) if you want cleaner reporting later.
Step 3: Move applications through the pipeline by updating status
As your search progresses, update a row’s status:
- Use Edit on any application
- Change Status to: Interview, Offer, Accepted, or Rejected
- Save changes
JobShinobi shows statuses as badges and also updates your dashboard and analytics counts based on these stages.
Pro tip: Treat Applied as “awaiting response.” Once you have a phone screen or scheduled interview, move it to Interview so you can quickly spot what’s active.
Step 4 (Optional): Automate status updates by forwarding emails (Pro required)
If you’re a Pro member, JobShinobi can process forwarded job-related emails and log/update applications automatically.
- Go to Dashboard → Settings → Email Forwarding
- Copy your unique forwarding address (ends in
@parse.jobshinobi.com) - Forward job emails like:
- application confirmations
- interview invites
- offer emails
- rejection emails
When an email is processed, JobShinobi attempts to extract:
- company
- job title
- status (e.g., Applied / Interview / Offer / Rejected)
- optional fields like location, salary, job URL, and additional info (when present in the email)
It also attempts to update an existing application (using fuzzy matching) instead of creating duplicates.
Important: Email-forwarding automation is Pro-gated. If you’re not a Pro member, email ingestion endpoints will reject processing.
Step 5: Export your pipeline to Excel
Click Export to download your applications as an .xlsx file.
This is useful if you want to:
- share your pipeline with a mentor/coach
- create your own charts in Excel/Google Sheets
- archive your job search data

Job Tracking Status Pipeline Use Cases
For high-volume applicants
When you’re applying to dozens (or hundreds) of roles, the pipeline prevents “lost applications” and helps you focus on what’s active:
- Keep everything in Applied until you hear back
- Move anything active to Interview
- Celebrate Offer and close out with Accepted or Rejected
For career switchers
Career switchers often run multiple “mini campaigns” across industries. A consistent pipeline lets you compare:
- which roles generate interviews
- which resumes/positioning are working
- where you’re getting filtered out
For organized follow-up and decision-making
A pipeline makes decisions easier because you can quickly see:
- how many interviews are in progress
- whether you have competing offers
- which companies you’re still waiting on

FAQ
Is Job Tracking Status Pipeline really free?
JobShinobi is a paid product with $20/month or $199.99/year plans, and the site advertises a 7-day free trial.
Some dashboard functionality (like signing in and using the tracker UI) may be available without automation, but email-forwarding job tracking requires Pro.
Do I need to create an account?
Yes—JobShinobi uses Google sign-in so your job tracker is saved to your account and can update in real time.
Can I customize the pipeline stages?
JobShinobi’s tracker supports a fixed set of statuses (Applied, Interview, Offer, Accepted, Rejected). It does not advertise custom stage creation in the current implementation.
Will this tool apply to jobs for me?
No. JobShinobi helps you track applications and analyze/resume-match, but it does not submit applications to job boards or guarantee ATS outcomes.
