Why Choose JobShinobi for Job Tracking?
Most job tracking apps make you do the hardest part: constant data entry and cleanup. JobShinobi is built around two workflows you can mix and match:
- A fast, structured Job Application Tracker you can update in seconds (add/edit/delete, status updates, dates, company, role).
- Email forwarding + AI parsing that can create or update applications from the emails you already receive.
Because job search momentum matters, JobShinobi also includes Analytics based on your tracker data—so you can spot what’s working (and what’s not) without building formulas.
Built for job seekers (not field teams)
The keyword “job tracking app” often brings up tools for tracking employee time or construction jobs. JobShinobi is different: it’s for tracking your job applications—Applied → Interview → Offer/Rejected—so you can stay organized and follow your process end-to-end.
Realtime updates (so your tracker stays current)
Your Job Application Tracker updates in realtime using Supabase Realtime—helpful when you’re adding jobs, editing statuses, or when email processing updates an existing entry.
Export to Excel when you need it
If you prefer to share progress with a mentor/coach—or just want a local backup—JobShinobi exports your job application table to .xlsx in one click.
How JobShinobi’s Job Tracking Works
Step 1: Sign in and open the Job Application Tracker
Create your account via Google sign-in, then head to the tracker:
Inside the tracker you can:
- Add an application (job title, company, status)
- Edit any row later
- Delete entries you don’t need
- Track statuses like Applied, Interview, Offer, Rejected, Accepted
Step 2: Track applications manually (fast, clean, structured)
If you’re coming from a spreadsheet, manual tracking still matters—especially when:
- A company doesn’t send a confirmation email
- You applied via a portal with no email trail
- You want to log an opportunity before you apply
JobShinobi’s tracker is designed for quick updates without spreadsheet overhead.
Step 3: (Optional) Use email forwarding to automate job tracking
For automation, JobShinobi provides a unique forwarding email address in your settings:
Forward job-related emails to that address, and JobShinobi attempts to parse:
- Company
- Job title
- Status (Applied / Interview / Offer / Rejected / Other)
- Optional fields when present: location, salary, job URL, additional info
- Uses the email’s date when available
Step 4: Watch your tracker update (and avoid duplicates)
When an email comes in, JobShinobi tries to avoid duplicate rows by using fuzzy matching across company + job title. If a close match is found, it can update the existing application (for example, moving from Applied → Interview).
You’ll also see a “Processing Email” indicator in the tracker while updates are being handled.
Step 5: View job search analytics from your tracker data
Once you have some applications logged, open:
JobShinobi calculates and displays:
- Response Rate (interviews + offers vs total)
- Offer Rate
- Interview Conversion (offers vs interviews)
- Monthly application trends (recent months)
- Status distribution (Applied / Interview / Offer / Rejected)
Note: “Avg. Response Time” is currently displayed as a placeholder value in the analytics UI.
Step 6: Export to Excel (.xlsx) anytime
From the Job Application Tracker, click Export to download:
job_applications.xlsx
This is useful if you want to:
- Keep a personal archive
- Share with a coach
- Do deeper analysis in Excel

Job Tracking App vs. Spreadsheet Tracking
Spreadsheets work—until they don’t.
Where spreadsheets break down
- You forget to update statuses (because it’s tedious)
- You lose context (which email or update changed what)
- You end up with duplicates (same company, multiple rows, unclear state)
- You spend time formatting instead of applying and preparing
Where JobShinobi is stronger
- A dedicated job application tracker UI for fast updates
- Realtime updates for changes as they happen
- Export to Excel when you want the spreadsheet format
- Optional email-forwarding automation to log updates from your inbox
Important: JobShinobi does not offer a direct Google Sheets sync. If you want spreadsheet portability, use the .xlsx export.
JobShinobi vs. Other Job Tracking Apps
Many popular job tracking apps emphasize:
- browser extensions
- autofill
- direct integrations with job boards
- Gmail/LinkedIn/Indeed syncing
JobShinobi takes a different approach: it focuses on a reliable dashboard + email-forwarding workflow and adds realtime updates, analytics, and Excel export.
When JobShinobi is a great fit
- You want a job application tracker that’s better than a spreadsheet, but still exportable
- You want to reduce manual entry by forwarding job-related emails
- You care about pipeline metrics like response rate and offer rate
When you may want a different tool
- If you need autofill for applications
- If you want job board integrations or “auto-apply” features
(JobShinobi does not claim job-board integrations or auto-apply.)
